Booking, Cancellations, and General Policies:
- When we “hold” dates for you, or you’ve been “penciled” in to the calendar, you have 72 hours (3 days) to confirm those dates AND put down a ~50% deposit on the studio time. If you need more time to sort out your schedule, please let us know. Otherwise, the HOLD will expire, and those dates can be offered to other clients.
- We understand that occasionally plans change. If you need to cancel a booking, please give us as much advance notice as possible. If your session is between a few hours and 2 days, we need at LEAST 48 hours advance notice, or you’ll lose your entire deposit.
- If your session is three or more days, we need at least two weeks advance notice for cancellation. We’ll either refund your deposit, or put it towards a future session, at our discretion.
- If you’ve made a deposit and WE have to move YOUR session because of a scheduling conflict, we’ll do everything in our power to accommodate your needs, or offer you a complete refund. This can happen when (you) have time booked, but a session that’s booking significantly more time has a conflict with the your session.
- Time spent setting up is included in billable studio time. The Studio reserves the right to charge for some breakdown time if it’s incredibly involved and time consuming.
- Sessions start at the booked time – not when the artists arrive.
- Payment is due in a timely fashion. Failure to pay all or part of your bill can result in difficulty booking time in the future.
- Overtime can be charged at the end of a 10 hour block (even during a lockout). Q’s overtime rate is time and a half of the staff only rate (i.e. – not the studio time/room fee!). It’s the staff engineer discretion when to start charging overtime, once the 10 hours have been completed.
- Master tapes and files are not released until full payment has been made.
- For sessions with many musicians and/or complicated/involved setups, we often recommend that an additional staff engineer be hired. This helps sessions move along quickly and efficiently!
Data backup:
- The artists and clients are responsible for their data. Please arrive with at least one hard drive, preferably two. One to work on, and one for backup.
- Q Division will make a good faith effort to backup your data WHILE YOU’RE WORKING at Q DIVISION, as a courtesy, but we are NOT RESPONSIBLE for data loss.
- Q Division CANNOT keep your data indefinitely. We strongly encourage you to start any project with two drives, and then at the end of your project to archive your finished files to at least two drives, which are stored in separate locations.
Miscellaneous Stuff:
- Piano tuning for your specific session is $150 dollars, paid at the time of deposit. The piano is tuned every couple of months, but if you need it retuned for your session, the tuning fee applies.
- Some amount of time spent taking breaks, eating, and dealing with technical issues is part of normal studio work. If a session has a catastrophic technical issue or in cases where technical issues eat up a significant amount of time, please notify the studio manager and we’ll EITHER issue a refund or add some free studio time, at our discretion.
- Even in the event of technical glitches, we are not responsible for your or any 3rd party’s expenses – such as travel time or musician’s fees.
